Full-time receptionist: $3,000/month Part-time staff handling repeat questions: $900 to $1,350/month Your chatbot: $399/month Net savings for the restaurant: $500 to $2,600/month
Over 1 million restaurants operate in the US alone. Fewer than 3% have any form of AI chatbot. The ones that do are paying enterprise vendors $500 to $2,000 a month for overcomplicated systems. You are offering a simpler, cheaper, better-fitting solution built specifically for local restaurants.
THE TECH STACK (4 TOOLS, NO CODE)
Claude API from Anthropic. This is the AI brain that processes every customer question. Costs about $15 to $20 per month per client at typical usage. Sign up at console.anthropic.com.
Voiceflow at voiceflow.com. This is a drag-and-drop chatbot builder that requires no code. It connects to the Claude API with one click. The free tier gives you up to 2 projects. Paid is $49 a month for unlimited clients.
Zapier at $20 a month. This connects the chatbot to Instagram DMs and Google Messages. It also sends reservation details to the owner via email or SMS. No code. Point and click automation.
Stripe which is free plus 2.9% per transaction. This handles $399 a month subscriptions automatically. Clients enter their card once and get auto-billed monthly. Zero manual invoicing.
Total tool cost for 1 to 5 clients: about $35/month Total tool cost for 6 to 30 clients: about $600/month Revenue at 30 clients: $11,970/month Net margin: 93%
THE SETUP FOR EACH NEW CLIENT (4 HOURS EVERY TIME)
Step 1 (30 minutes): Collect restaurant info via intake form. Step 2 (45 minutes): Write the Claude system prompt. Step 3 (60 minutes): Build the Voiceflow conversation flow. Step 4 (30 minutes): Connect Claude API to Voiceflow. Step 5 (30 minutes): Connect Zapier for Instagram and reservations. Step 6 (30 minutes): Embed on their website and test 20 questions. Step 7 (15 minutes): Send the owner the demo link and instructions.
THE CLAUDE PROMPT THAT POWERS EVERYTHING
A weak prompt gives generic answers. A strong prompt makes the chatbot sound like a knowledgeable warm staff member who loves the restaurant. Here is the master prompt. Fill in every bracket for each client:
"You are the AI assistant for [Restaurant Name], a [cuisine type] restaurant in [city/neighborhood].
YOUR PERSONALITY: [warm/professional/casual, match the restaurant's vibe] You love this restaurant and know it deeply. You are like the most knowledgeable server who has worked here for years.
CRITICAL RULES: Never make up information. If unsure, say: 'Great question, let me have our team confirm that. Please call us at [number] or send us a message and we will get back to you right away.' Always answer in the same language the customer writes in. Keep responses under 3 sentences unless the question requires more detail. Always end with a question or invitation when appropriate. Never mention you are an AI unless directly asked.
RESTAURANT INFORMATION: Name: [full name] Address: [full address] Phone: [number] Website: [url] Parking: [details]
HOURS: [paste all days and hours]
FULL MENU WITH PRICES: [paste complete menu]
DIETARY AND ALLERGEN INFO: [paste all dietary info]
RESERVATIONS: [paste reservation process and limits]
DELIVERY AND TAKEOUT: [paste all delivery and takeout details]
SPECIAL INFO: [events, gift cards, dog-friendly policy, kids menu, anything else]"
THE DEMO THAT CLOSES EVERY DEAL
Before you walk into a single restaurant, build one demo chatbot using a fictional restaurant. Call it something like "Bella Roma Italian Kitchen." Train it with a full menu, hours, reservation process, delivery options, and location. Make it feel completely real.
When you sit down with a restaurant owner do not talk. Show. Hand them your phone with the demo loaded and say "type any question about a restaurant." Stay quiet. Let them interact. Watch their face when Claude answers instantly, warmly, and correctly.
Then say: "Your customers are asking these same questions right now on your website at midnight and in your Instagram DMs on Sunday morning. Right now nobody is answering. This does. For less than 15% of what a receptionist costs."
The pitch script:
Opening (30 seconds): "Hi, we build AI chatbots for restaurants. Can I show you something interesting in 90 seconds?"
Demo (60 seconds): Hand them the phone. Let them ask anything. Stay quiet. Let Claude answer.
The close (60 seconds): "Right now your staff answers these questions 40 to 60 times a day. A receptionist costs $3,000 a month. This does it for $399 a month including at 2am when nobody is there to respond. First month completely free. If it does not save your staff real time, you owe nothing."
The price reveal (last): "After the free month it is $399 a month. Cancel any time. Most owners make the $3,000 receptionist optional within 60 days."
One objection you will always hear: "We already have a website FAQ." Your answer: "A FAQ does not respond to Instagram DMs at midnight. This does. And it never calls in sick."
THE ONBOARDING SYSTEM
Once they say yes to the free month, send them an intake form. Here is the prompt that creates it:
"I am onboarding a new restaurant client for my chatbot service. Create a client intake form that collects: 1. All business information the chatbot needs to function. 2. Brand voice preferences (formal, casual, warm, funny). 3. Questions they get most often in their own words. 4. Things the chatbot should NEVER say or do. 5. Emergency contact for questions Claude cannot answer. 6. Instagram handle and website URL for integration. Format it as a clean Google Form with clear section headers. Make it feel like a professional service onboarding, not a homework assignment. Under 25 questions total because restaurant owners are busy."
After they submit the form, load everything into the Claude system prompt, build the Voiceflow flow, test 20 questions, and go live.
The welcome email prompt:
"Write a welcome email to send to a new restaurant client after their chatbot goes live. Restaurant: [name]. Owner name: [first name]. Chatbot live date: [date]. Free trial ends: [date]. Include: 1. Warm congratulations. 2. What happens next (chatbot is live, we are monitoring it). 3. How to test it themselves (3 test questions to try). 4. What the monthly report will show them. 5. Direct contact for any issues. 6. Soft reminder that the free trial ends on [date] and it is $399 a month after. Tone: friendly, confident, like a partner not a vendor. Under 200 words."
THE MONTHLY REPORT THAT KEEPS CLIENTS FOREVER
This is the most important retention tool in the business. Owners who receive a monthly report stay subscribed. Owners who do not start questioning the value. Automate it with Claude. Takes 3 minutes per client.
The prompt:
"Write a monthly performance report email for my chatbot client. Restaurant: [name]. Owner: [first name]. Month: [month/year]. Data: Total conversations: [number]. Questions answered automatically: [number]. Reservations captured: [number]. Most common questions: [list top 5]. Response time average: [X seconds]. Instagram DMs handled: [number]. Busiest day: [day plus number of conversations]. Peak hour: [time]. Format: Subject line that highlights the single most impressive number. Opening: 2 sentences on what the bot accomplished. Key stat: one big number as the headline of the month. Breakdown: 4 specific wins. Renewal reminder: soft, one sentence at the end. Tone: proud partner sharing results. Under 200 words."
HOW TO GET FROM 1 CLIENT TO 30
Weeks 1 and 2: Get the first yes. Walk into 10 restaurants during quiet hours. Tuesday through Thursday, 2pm to 4pm. Pitch 10. One will say yes to the free month.
Weeks 3 and 4: Convert to paid. After the free month, send the monthly report and then say: "Your chatbot handled [X] conversations this month. That is roughly $[amount] in saved labor at your staff's hourly rate. Ready to continue at $399 a month?"
Month 2 to 3: The referral engine. After every client is live and happy, ask one question: "Do you know any other restaurant owners who deal with the same problem?" One referral per happy client per month grows faster than any advertising.
Month 3 to 9: Systematize and scale. By client 10 you can train someone else to do the setup. By client 20 sales takes more time than setup. That is the business working correctly.
UPSELLS THAT PUSH PAST $15K/MONTH
Base package at $399/month: Website chatbot plus Instagram DMs, monthly performance report, menu and hours updates included.
Google Reviews add-on at $99/month: Chatbot automatically asks happy customers to leave a Google review after their visit.
SMS Marketing add-on at $149/month: Collect customer phone numbers via the chatbot. Send promotional SMS for slow nights and special events. Claude writes the SMS campaigns.
WhatsApp Integration add-on at $99/month: Connect chatbot to WhatsApp Business. Handle booking confirmations and order updates.
Full Setup and Training at $500 one-time: 2-hour in-person session. Claude writes the training doc.
Average revenue per client at month 6: $399 base plus $150 in upsells equals $549 a month. At 30 clients that is $16,470 a month.
MISTAKES TO AVOID
Pitching over email or phone. Restaurant owners do not read cold emails. Walk in. Show the demo on the phone. The visual closes the deal in 90 seconds. The email never does.
Overbuilding before charging. The first chatbot should do 5 things: hours, menu, reservations, delivery, and location. Do not add features until clients are paying and asking for them.
Skipping the monthly report. The report is the retention system. Owners who see numbers monthly never cancel. Automate it with Claude. 3 minutes per client. Never skip it.
Not anchoring to the $3,000 receptionist. Always compare $399 a month to what a receptionist costs. That comparison closes deals. Never let them compare you to a cheaper tool.
Staying in one niche too long. Restaurants teach you the system. Dental clinics teach you the upsell. Law offices teach you the premium price. After 30 restaurant clients you have enough proof to walk into any local business and close.
Not asking for referrals. The single biggest growth lever is a happy client who knows other owners. Ask every client after their first monthly report: "Who else do you know that deals with the same problem?" One referral per client per month grows the business faster than any advertising ever will.
You just read the full playbook. Most people will close this tab and never implement it. The ones who do usually hit a wall around the technical setup and quit.
