How to Use Claude for Small Business (3 Workflows That Replace Half Your Tools)

HOW TO SET IT UP
Open Claude Cowork on your computer. Look for the Claude for Small Business toggle and turn it on. Then connect the tools you use. Each one takes about 60 seconds to link.
PayPal: Handles settlements, invoicing, disputes, and refunds inside Claude. QuickBooks: Handles payroll planning, monthly close, cash flow, tax prep, and reconciliation. HubSpot: Handles lead triage, customer tracking, and campaign performance. Canva: Generates content for every channel. You can collaborate, edit, publish, and track performance. Docusign: Sends contracts for signature, tracks status, and files the executed copy where it belongs. Google Workspace: Connects your email, docs, sheets, and calendar.
Once your tools are connected all 15 workflows are available. You pick the job. Claude does the work. You approve before anything happens.
WORKFLOW 1: THE INVOICE CHASER
This is the one you turn on first because it pays for itself on day one.
Every small business has money sitting in unpaid invoices. Some are a few days overdue. Some are weeks. Some you forgot about completely. Chasing those payments manually means writing awkward follow-up emails, checking which invoices are still outstanding, and trying to remember who you already contacted. Most business owners either do this inconsistently or skip it entirely because it feels uncomfortable and time-consuming.
The invoice chaser does all of it automatically.
What it does: Claude connects to your QuickBooks and PayPal, pulls every outstanding invoice, ranks them by how overdue they are, drafts personalized follow-up emails for each one with the right tone based on how late the payment is, and queues everything for you to review. A 3-day-late invoice gets a friendly nudge. A 30-day-late invoice gets a firmer reminder with your payment terms referenced. You review the emails, approve them, and they go out.
How to use it: Open Claude Cowork with your QuickBooks and PayPal connected. Tell Claude:
"Check all my outstanding invoices. Show me everything that is overdue sorted by how many days late. For each one, draft a follow-up email to the client. Keep the tone professional but adjust it based on how overdue the invoice is. Friendly for anything under a week. Firmer for anything over 2 weeks. Include the invoice number, amount owed, and original due date in each email. Queue them all for my review before sending."
Claude pulls the data, drafts the emails, and presents them for your approval. You read through them, make any tweaks, approve, and they go out. The whole thing takes about 5 minutes regardless of how many overdue invoices you have.
Run this weekly. Set it as a Monday morning routine. You will be surprised how much money is sitting in invoices you forgot about.
Beyond chasing overdue invoices, Claude can also help you:
"Show me my cash position right now. What is in QuickBooks versus what has settled in PayPal. Flag anything that does not match."
"Build me a 30-day cash flow forecast based on my current receivables and upcoming expenses."
"Draft invoice reminder templates I can reuse. One for 3 days overdue, one for 7 days, one for 14 days, and one for 30 plus days."
WORKFLOW 2: THE CAMPAIGN BUILDER
This is the one that grows your revenue.
Most small business owners know they should be doing more marketing but they do not have the time to analyze what is working, plan campaigns, write copy, and design creative assets. So marketing either does not happen or it happens randomly without any strategy behind it.
The campaign builder uses your real business data to plan and build campaigns for you.
What it does: Claude connects to your HubSpot and looks at your actual sales data and campaign history. It finds the slow stretches in your revenue. It analyzes which past campaigns actually converted and which ones flopped. Then it drafts a full promotional strategy based on what the data says works for your specific business. After you approve the strategy it goes into Canva and builds the actual creative assets. Not suggestions for what to design. The real graphics and copy ready to publish.
How to use it: Open Claude Cowork with HubSpot and Canva connected. Tell Claude:
"Look at my sales data for the last 3 months. Find any slow periods or revenue dips. Then analyze my past campaigns and tell me which ones actually drove conversions and which ones did not perform. Based on what worked, draft a promotional strategy for this month. Include the target audience, the offer, the channels, and the timing. Then create the email copy and social media graphics in Canva so everything is ready to send."
Claude comes back with a full campaign plan built from your real numbers. It shows you which channels are worth your time and which ones are not pulling their weight. It writes the emails. It designs the assets in Canva. You review everything, make adjustments, approve, and launch.
Beyond full campaigns, Claude can also help you with daily marketing tasks:
"Look at my HubSpot contacts and sort my leads by how likely they are to convert. Put the hottest ones at the top of my list for today."
"Check which of my marketing emails had the highest open rate last month and tell me what they have in common."
"Draft 5 social media posts promoting my [product/service] for this week. Match the tone and style of my best-performing past posts."
WORKFLOW 3: THE MONTHLY CLOSE
This is the one that saves you the most time every single month.
Closing your books at the end of the month is one of those tasks that every business owner dreads. You have to reconcile your bank transactions against your accounting records, find the mismatches, figure out what went wrong, and put together something coherent to send your accountant. It usually takes an entire evening. Sometimes longer if things are messy.
The monthly close workflow does the reconciliation and reporting for you.
What it does: Claude connects to your QuickBooks and PayPal, reconciles your books against your settlements, flags everything that does not match, writes a plain English profit and loss statement that you can actually understand without an accounting degree, and exports a complete close packet that you can forward straight to your accountant.
How to use it: Open Claude Cowork with QuickBooks and PayPal connected. At the end of the month tell Claude:
"Reconcile my QuickBooks records against my PayPal settlements for this month. Flag any transactions that do not match. Write me a plain English profit and loss summary that explains where my money came from and where it went. Include total revenue, total expenses broken down by category, and net profit. Then package everything into a close packet I can forward to my accountant."
Claude does the reconciliation, catches the errors you would have missed, and packages everything up. You review it once, approve it, and your month is closed. What used to take an entire evening now takes about 15 minutes of reviewing what Claude put together.
Beyond the monthly close, Claude can also handle ongoing financial tasks:
"Plan my payroll for next month. Look at my cash position in QuickBooks, factor in incoming PayPal settlements, and tell me if I can cover payroll comfortably or if I need to plan around any gaps."
"Analyze my profit margins by product or service. Tell me which ones are making the most money and which ones are barely breaking even."
"Help me get organized for tax season. Pull together all my deductible expenses, flag anything that looks like it might be missing documentation, and create a checklist of what my accountant will need."
